2. What information we collect

When you use the Fleetdeal platform or visit fleetdeal.co.za, we may collect:

Personal information you give us — name, email, phone, company, role, and any information you enter into the CRM about your clients, suppliers and employees.
Technical information — IP address, browser type, device type, pages visited, timestamps. Collected automatically via standard web logs.
Analytics information — anonymous aggregated usage data (e.g. via Plausible or Google Analytics) for the marketing site only, not the authenticated CRM.

3. How we use it

We use personal information to:

Provide and operate the Fleetdeal platform you've signed up for.
Respond to demo requests and sales enquiries.
Send service-related emails (billing, security, important updates).
Improve the platform based on aggregated usage patterns.
Comply with our legal obligations (SARS, POPIA, FICA where applicable).

4. Lawful basis (POPIA)

We process personal information on the lawful basis of:

Contract — to deliver the platform you've paid for.
Consent — where you've explicitly opted in (e.g. marketing emails).
Legitimate interest — to run, secure and improve our service.
Legal obligation — where we are required by South African law.

5. Sharing your information

We do not sell your personal information. We may share it with:

Subprocessors — infrastructure providers (Render), email delivery (Nodemailer SMTP), analytics (Plausible / Google), payment processing (PayFast). Each is contractually bound to protect your data.
Law enforcement or regulators — where compelled by a valid SA court order.
Your OEM (on the Enterprise/OEM tier) — aggregated, anonymised network metrics. Never individual client records.

6. Where your data lives

Fleetdeal is hosted on Render's infrastructure. By default this is in the Frankfurt region. On the Enterprise tier, we can arrange dedicated SA-region hosting on request. Cross-border transfers are protected under standard contractual safeguards.

7. How long we keep it

We keep your data for as long as you have an active Fleetdeal account, plus reasonable retention for legal and accounting purposes (typically 5 years post-cancellation for tax and audit records). On request, we can delete your account data sooner where law permits.

8. Your rights under POPIA

You have the right to:

Access the personal information we hold about you.
Correct or update it.
Request deletion (subject to legal retention obligations).
Object to processing.
Lodge a complaint with the Information Regulator of South Africa.

9. Security

We use industry-standard security measures: HTTPS / TLS everywhere, encrypted database storage, hashed passwords, daily backups, restricted access on a need-to-know basis, and audit logging of admin actions.
